Job Title: Data Entry Operator

Main Purpose

The Data Entry Operator will be responsible for collecting and entering medical data into the mission database, ensuring all relevant clinical and demographic information about patients is accurately recorded. This role is crucial for maintaining data quality, reliability, and confidentiality, while also producing updated documents to support the medical team’s decision-making processes.

Reporting Structure

  • Hierarchical: Project Manager
  • Functional: Technical Manager – Medical, MEAL Manager

Key Responsibilities

  • Verify that all entered data is authorized and that appropriate documentation (e.g., patient records, treatment monitoring) is received.
  • Regularly enter medical data—including patient details, visit dates, prescription content, and viral load—into the mission’s database, adhering to INTERSOS protocols. Ensure timely and efficient data entry processes.
  • Maintain accuracy and completeness of all collected data. Follow up on quality control queries and identify any data entry errors, reporting anomalies to the supervisor immediately.
  • Collaborate in compiling data from INTERSOS structures and partner health facilities.
  • Assist in locating missing data and updating existing patient files as necessary.
  • Conduct regular backups of processed data and ensure all documentation meets INTERSOS standards.
  • Maintain equipment and keep the recording area organized, with a focus on the confidentiality of patient files.
  • Report any data management issues to the supervisor.
  • Prepare statistical reports as required by the medical team.
  • Uphold confidentiality regarding all registered information.
  • Support the compilation and preparation of regular reports.

Requirements

Education

  • Bachelor’s degree (BA or BSc) in a relevant field or equivalent experience in Monitoring, Evaluation, Accountability, and Learning (MEAL).

Professional Experience

  • Minimum of 2 years of experience in a data management role within an NGO.
  • Experience in health data management is a plus.

Technical Skills

  • Proficient in software used for data recording.
  • Strong computer skills, particularly in Microsoft Word and Excel.

Language Proficiency

  • Proficiency in the local language is essential; knowledge of the mission language is desirable.
